Trillium Interiors
Privacy Policy
Last updated 21 August 2026
Trillium Interiors (“Trillium Interiors,” “we,” “us,” or “our”) respects your privacy. This policy explains what personal information we collect through trillium-interiors.com (the “Site”) and in the course of our design services, how we use it, who we share it with, and the choices you have.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law, including Canada’s Anti-Spam Legislation (CASL).
01Who we are

02Information we collect
Information you give us directly
- Contact form and email inquiries — your name, email address, and anything you choose to tell us about your project (property type, location, scope, timeline, budget range, style preferences).
- Discovery call bookings — when you book a call through our scheduling tool, we receive your name, email address, selected time, time zone, and any answers you provide to the booking questions.
- Newsletter sign-up — your name and email address, and your record of consent.
- Client engagements — if you become a client, we collect the information needed to deliver the work: your mailing and project address, phone number, billing details, floor plans and measurements, photographs of your home, and your design preferences and approvals. We may also receive information about members of your household where it’s relevant to how the space will be used.
- Anything else you send us — including messages, files, and images you share by email or messaging apps.
Information collected automatically
When you visit the Site, we and our service providers collect limited technical information: your IP address (typically truncated or anonymized), browser and device type, operating system, referring website, the pages you view, and the dates and times of your visits. This is collected using cookies and similar technologies — see Section 7.
Information from third parties
- Reviews and comments you leave publicly on Google, Instagram, or Facebook.
- Referral information, when an existing client, contractor, trade partner, or realtor passes along your name and contact details in connection with a possible project.
We do not collect sensitive information such as government identification numbers or health information, and we ask that you not send it to us.
03Why we collect it, and our legal basis
We collect, use, and disclose personal information only for purposes a reasonable person would consider appropriate in the circumstances, and with your consent (express or implied, as the situation requires). Specifically:
| Purpose | What we use |
|---|---|
| Responding to your inquiry and assessing project fit | Contact form and email details |
| Scheduling and holding consultations | Booking details |
| Preparing proposals, quotes, and agreements | Inquiry and project details |
| Delivering design, procurement, and styling services | Full client file |
| Ordering furnishings and coordinating deliveries and trades | Name, address, phone, order details |
| Invoicing, payment, and bookkeeping | Billing details |
| Sending our newsletter and studio updates | Name, email, consent record |
| Understanding how the Site is used and improving it | Analytics data |
| Portfolio and marketing (only as described in Section 6) | Project photography |
| Meeting legal, tax, and insurance obligations | As required |
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer provide some or all of our services. To withdraw consent, email info@trillium-interiors.com.
05Storage, transfers outside Canada, and security
Some of our service providers store or process information on servers located outside Canada, including in the United States and the European Union.
While personal information is in another country, it is subject to that country’s laws and may be accessible to that country’s courts, law enforcement, and national security authorities.
We take reasonable steps to ensure our providers offer a comparable level of protection to that required in Canada. If you would like more information about our practices in this regard, contact us at info@trillium-interiors.com.
We use reasonable physical, organizational, and technical safeguards appropriate to the sensitivity of the information — including encrypted connections to the Site, access controls, reputable providers, and limiting access to those who need it. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
06Project photography and portfolio use
Photographs of completed projects are central to how we present our work. We will not publish photographs of your home, or identify you as a client, without your written permission. Where you grant permission, we typically publish images without your name or street address unless you agree otherwise.
You may ask us to stop using project photographs in future marketing at any time by emailing us; we will honour the request going forward, though we may not be able to recall materials already printed or reposted by third parties.
07Cookies and analytics
The Site uses cookies and similar technologies. Some are strictly necessary to make the Site work (security, load balancing, remembering your preferences). Others help us understand how visitors use the Site.
Google Analytics
We use Google Analytics, a service provided by Google LLC, to see how people find and move through the Site — for example, which pages and projects draw the most interest and which devices visitors use. Google Analytics sets cookies and collects information including your IP address (which we configure to be anonymized where available), pages viewed, session duration, and general geographic region. This information is aggregated and used for statistical purposes; we do not use it to identify individual visitors. Google processes this data on its own servers, including in the United States, and its use is governed by Google’s privacy policy at policies.google.com/privacy.
You can opt out of Google Analytics across all websites by installing Google’s browser add-on at tools.google.com/dlpage/gaoptout.
Managing cookies
Most browsers let you refuse or delete cookies through their settings. Blocking cookies may affect how parts of the Site function.
Embedded third-party content
Our Site links to and may embed content from Instagram, Facebook, Google Reviews, and our scheduling and newsletter providers. These services may set their own cookies and collect information when you interact with them, governed by their own privacy policies, not this one.
Do Not Track
The Site does not currently respond to browser “Do Not Track” signals.
08Email and your consent (CASL)
We send commercial messages — such as our newsletter, studio news, and project updates — only to people who have consented to receive them, or where we have an existing business relationship that permits it under CASL. Every commercial email includes a clear unsubscribe link and our contact information. Unsubscribe requests are honoured promptly and in any case within 10 business days.
Unsubscribing from marketing email does not stop transactional or project-related messages — proposals, schedules, invoices, and delivery coordination — that we need to send in the course of working together.
09How long we keep information
We keep personal information only as long as necessary for the purposes described above, or as required by law:
- Inquiries that don’t become projects: up to 2 years, in case you return to the conversation.
- Newsletter subscribers: until you unsubscribe, plus a suppression record so we don’t email you again.
- Client project files: for the duration of the engagement and generally 7 years afterward, to support warranty questions, insurance, and tax and accounting obligations.
- Analytics data: as set by our analytics provider’s retention settings, typically 14 months or less.
When information is no longer needed, we destroy, erase, or anonymize it.
10Your rights
Under PIPEDA, you have the right to:
- Access the personal information we hold about you and be told how it has been used and to whom it has been disclosed;
- Correct information that is inaccurate or incomplete;
- Withdraw consent to our collection, use, or disclosure, subject to legal and contractual limits;
- Unsubscribe from marketing communications at any time;
- Ask questions about our privacy practices or make a complaint.
To exercise any of these rights, email info@trillium-interiors.com. We may need to verify your identity before responding. We will respond within 30 days, or tell you if we need an extension and why. Access is free in most cases; if a request requires substantial effort, we will tell you the estimated cost before proceeding. In limited circumstances the law permits or requires us to refuse access — for example, where doing so would reveal another person’s personal information or is subject to solicitor-client privilege. If we refuse, we will tell you why and how you may challenge the decision.
If you’re not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
11Children
The Site and our services are directed at adults. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
12Links to other sites
The Site contains links to third-party websites, including social media platforms, suppliers, and publications that have featured our work. We are not responsible for the privacy practices or content of those sites. We encourage you to read their privacy policies.
13Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. The current version will always be posted on this page with a revised “Last updated” date. Material changes will be brought to your attention where required. Your continued use of the Site after an update means you accept the revised policy.
